How to View All the Pages in Your Knowledge Base

 

Learn the essentials of accessing, sorting, managing, and publishing pages within the ProProfs Knowledge Base to keep it organized and up-to-date. With this, you'll be able to select multiple pages for custom actions (edit, delete, and publish/unpublish)  and set the page attributes (Page ID, title, status etc) to your preferences.

 

Utilize these features to maintain a well-organized, accessible, and user-friendly knowledge base, enhancing the user experience.

 

Page views allow users to:

 

  • Easily navigate to specific pages and take quick actions.

  • Create custom filters to list and view particular pages.

 

Below is how the page view screen appears.

How to Access and Manage Page Views

 

Step 1: In your ProProfs Knowledge Base Dashboard, go to Preview > View Pages.

You will see the list of all the pages:

How to Sort the Page List

 

Step 2: Click on any of the page sorting options.

Under Page sorting options:

 

  • All: All the pages are shown in the list regardless of their status.

  • Published: Only the pages that are published are shown in the list. Published pages include only originally published pages.

  • Unpublished: Only the unpublished pages are shown in the list. Any recent changes that are saved but not published will not be live. Hence, their current status will be shown as “Unpublished.”

  • Draft: Only the pages being created for the first time are considered in the draft. It would be best if you didn’t confuse it with unpublished pages. Only a published page can have its status changed to Unpublished.

 

How to Manage the Pages

 

Step 3: Select the page and click on the required page action.

  • Delete: Select and delete a page or pages.

  • Edit: Edit a single or multiple pages.

 

The screenshot below shows what the Edit window looks like. You can change the page type between text/video, add the author name, download the page/pages as PDF, hide/unhide the page from TOC, show/don’t show in the search results, and allow feedback to be collected.

How to Publish Multiple Pages at Once

 

The View Pages section allows you to publish a single or several articles simultaneously. To do this, select the desired page(s) and click Publish to make them live. You can change the status of all your pages to "Publish" by ticking the "Select All" box in the header menu, enabling you to publish your entire site in one go.

Additional Settings

  • Unpublish: This option allows you to unpublish a page or multiple pages. It proves beneficial when the content on a page becomes outdated and no longer serves the viewer’s interest. By unpublishing, you can effectively hide it from public view.

  • Reset Feedback: This option enables you to reset the feedback count on a page or multiple pages to zero. Simply select the desired page or pages and click Reset Feedback.

 

How to Sort the Page List According to Page Title

 

Step 4: Hover the cursor over Page Title and click â–¼> Columns. Check/uncheck the column names you want to show/hide.

Understanding Column Categories

 

  • TOC Name: This means the page’s title, which is displayed in the Table of Contents.

  • Page Title: It is the title that will appear on the page. Also, this is shown as a link on the View Pages dashboard to open a particular page.

  • Status: Represents a page’s status, such as Published, Unpublished, Draft, and In-Progress.

  • PDF: This allows you to download a page as a PDF.

  • Good: This represents the total number of positive feedback your page has received.

  • Bad: This represents the total number of negative feedback your page has received.

  • Search: Enabling this shows a page in the search results.

  • Last Modified: It tells when a page was last edited.

  • Author: Shows the name of the person who created a page.
